Provides up to executive level administrative support to internal Systems and Solutions Global Operations Teams, Local Business Partners or Field Sales Offices, working towards Customer Service Excellence through proactive communication, driving order fulfilment and resolution of issues as needed and requested.
Assists the team lead in carrying out tasks requiring accuracy, completeness, and adherence to standard practices.
Analyse reports, summarize status / issues, communicate gaps in allocation / late deliveries and escalate issues concerning on time delivery.
Works closely with order fulfilment leads and specialist to establish and execute order priorities based on customer need, business priority and supply priority.
Monitor and serve as gatekeeper for management of orders during times of constraints.
Works with supply chain partners’ capabilities as it relates to on time delivery which could include supply planning, demand planning, inventory management, distribution along with understanding the interrelationship of processes, systems as they interface across these teams.
Responsible for avoiding order management process issues by proactively reviewing and analysing data to ensure processes are being followed that support on-
time delivery and correct revenue recognition and invoicing.
Troubleshoots issues and completes root cause analysis for immediate and longer-term resolution which may involve engaging up and downstream stakeholders (sales, finance, planning, warehouse and transportation).
Leads innovation around what future system enhancements or practices will lead to process improvement and overall better performance related to on time delivery, reporting and transparency.
Reviews material revision changes and ensure effectivity to impacted sales orders
Handles day to day worldwide allocation of materials with shortage issues through prioritization
Works with procurement team to drive worldwide demands and upcoming projects ensuring on time delivery of commitments and visibility of the plan and forecasts.
Ensures availability of stocks in the distribution centers
Prepares accurate and timely reports for demand analysis and order allocation
Meets regularly with procurement team and planning to take on delivery issues
Works closely with order fulfilment customer interface groups, product database, reports analyst, distribution teams, finance and other supply chain contacts to drive resolution of order issues relating to quality, delivery issues, and product set up.
Troubleshoots reporting inaccuracies / issues, determine root cause and recommend resolution.
Ensure consistent adherence to the agreed processes and procedures for material management in achieving common objectives and metrics
Facilitates electronic and hard copy file management in accordance to agreed document retention policies.
Carries out responsibilities and varied assignments requiring general familiarity with the field of specialty such as defining systems & procedural requirements
Lead & conceptualize process improvement projects or initiatives
Acts as an Officer In Charge in the absence of the Team Leader
Provides training as a Subject Matter Expert on Order Fulfilment Process
Execute ADHOC tasks given by the Team Lead or management
Leads project assignments or activities to support corporate, & foreign subsidiaries requirements & objectives
Complies with all department and company policies / procedures and all export regulations.
