Preferred Qualifications

Summary:

The Cash Applications Analyst II is a key member of the Finance team and is responsible for the timely and accurate posting of accounts receivable payments. Customer payments are received on a daily basis via ACH, wire, check and lockbox.

Primary Responsibilities:

  • Download and prepare lockbox files from daily FTP transmissions sent by our banks.
  • Apply cash daily for payments received from lockbox using automated auto-cash process.
  • Apply cash daily via manual application for all deposited credit card settlements, wires, EFT/ACHs, and manual deposits.
  • Apply non-AR payments to the General Ledger.
  • Reconcile Cash and A/R Clearing accounts in the General Ledger.
  • Reconcile and complete intercompany transaction
  • Work closely with AR Manager and Sr. Staff Accountant to reconcile cash and clearing accounts, resolve discrepancies, and to ensure all receipts are posted correctly within the accounting period at month-end.
  • Maintain and improve processes and tools designed to support cash application processes.
  • Retrieve payment notifications from various customer websites
  • Work with Accounts Payable team in completing customer refund transactions.
  • As needed, gather back up of requested documents for business and audit purposes
  • Coordinate with Credit team to resolve customer payment issues
  • Perform Ad Hoc reporting, account analysis and work assignments as delegated by the Credit & Collections Manager or the Team Lead
  • Qualifications/Skills:

  • Fluent in English, strong speaking and writing skills.
  • Customer focused.
  • Experience in Billing and collections business environments (Business to Business)
  • Intermediate excel spread sheet skills
  • Knowledgeable in Microsoft Office
  • Experience using NetSuite - Oracle–SAP–ACPAC–QuickBooks preferred.
  • Business Administration graduate degree with coursework or majoring in Accounting/Finance; Minimum of 2 years of relative work experience.
  • Detailed Description and Job Requirements

    Timely cash collection of customer accounts, assessing credit worthiness, minimizing bad debts and ensuring contract compliance and/or recommending legal action.

    You will assist in the collection, management, and resolution of outstanding invoices from past due accounts. Collect overpayments from current and former employees. Work with departmental managers to eliminate root cause of overpayment. Interfaces with sales support, accounts receivable, and directly with the customer to determine the ability to pay, communicate contractual specifications, and enforce remedies in reconciling accounts. Manage portfolio of accounts including delinquency, write-offs, credit memos, and additional interest. Conducts pre-sale credit risk evaluation, prepares recommendations, and makes credit approval decisions on new accounts. Recognizes deteriorating credit situations recommending and implementing solutions. Prepares collection reports.

    Duties and tasks are standard with some variation. Completes own role largely independently within defined policies and procedures. Strong attention to detail. Excellent written, verbal, interpersonal, and analytical communication skills. 2 year experience in contracts, finance, leasing, or equivalent. BA/BS degree in Accounting or Finance preferred.
