JOB SUMMARY :
Provides general administrative and secretarial services to the office of the General Manager, to ensure smooth performance of functions and objectives as directed by the company.
At the same time, oversee management of Company events and employee engagement events and activities.
DUTIES & RESPONSIBILITIES :
Effectively manages the General Manager’s appointments, meetings and official business schedules by effectively planning, leading, organizing and controlling day-
to-day activities or medium term schedules;
Provides and maintains an effective document control and file management system;
Ensures that all external and internal communications are properly attended to and disseminated effectively as required with local and foreign affiliates;
Provides proper hotel accommodation and travel arrangements for the General Manager and his office, first line staff and employees and the General Manager’s guests through effective coordination with hotel and travel agents;
Facilitates procurement of visa and other requirements for travel for the General Manager and his staff;
Protects the interest of the company through effective handling of information, documents and records in the strictest confidence;
Interfaces with departmental managers and heads in the monitoring and timely preparation & submission of required monthly reports;
Exercises diplomacy and good judgment;
Actively participate in all Environmental, Health, Safety and Security activities to effectively support and contribute in providing a safe and secure work environment;
Effectively manage Company events and Employee engagement events and activities.
Requirements & Qualifications :
Graduate of any four-year course with extensive training / experience in secretarial function.
Preferably with minimum 3 years work experience as an executive assistant / secretary or related work experience.
Excellent written / verbal communication
