Operations Manager - Global Lease Administration (Mandarin)
Job Description Summary
Operations Manager APAC Regional Lease Administration is expected to demonstrate a client-driven approach by marshalling the firm’s Lease Administration resources across all core capabilities and corporate functions to deliver superior service to both internal and external clients.
This position supports the Global Lead for Lease Administration in the responsibility to drive revenue towards bottom-line profitability and is responsible for operations of all Global Lease Administration Function for APAC Region.
Manages and is accountable for all or part of multiple client relationships. This Director position leads the fostering and expanding of multiple client relationships.
Updates Global Leader on issues relative to each account and makes written recommendations regarding account profitability, status and staffing issues.
This position is responsible for all aspects of staffing and resource coordination and allocation.
Other responsibilities include, preparation of written proposals, policy and procedures manuals, and develops standard forms for each account;
presents written recommendations to clients including economic justifications, financial reports as well as summarizing requisite analyses;
responsible for preparing agendas and materials for client meetings and making written / oral presentations; involved in developing new client business and strategies to expand current business opportunities and leads a team toward the delivery of integrated services within a complex client organization.
KNOWLEDGE AND EXPERIENCE
Over 10 years (3 years must be directly with Corporate Real Estate)
Minimum of five years of Real Estate Experience preferred
Over 3 years of transactional experience
1-3 years of experience in Project Management and / or Business Development
Bachelor Degree / MBA counts as 2 years of experience
Must have competency in project management with multiple projects and / or accounts
Financial analysis and computer literacy with knowledge of Microsoft Office Suites
Understanding and skills in both Strategic Planning and Real Estate Market Analysis
Understanding of the R / E Transaction Process, Financial Analysis, R / E Contracts and R / E Market Analysis
Excellent oral and written communication skills and presentation
Excellent organizational abilities required
Experience in resource allocation and implementation
Real Estate salespersons / broker license
Bilingual : English and Mandarin
Lead and direct large staff providing multiple functions that is directly tied to the Lease Administration core functions that include lease abstraction, data base management, invoice compliance review and bill pay presentment
Lead all aspects of the account relationship
Ensure overall quality of service delivery
Coordinate service and / or resources delivered to the client
Manage the flow of key documentation and client communications
Responsible for working with customers’ operation groups at all levels and identifying real estate needs and introduces appropriate C&W service line
Develop profitability criteria
Responsible for budgeting, revenue and profit tracking
Report profitability results to senior management
Design reporting products to meet the clients’ unique requirements
Ensure accuracy of all client materials
Hires, oversees training and management of APAC lease administration team
Lead and / or facilitate client meetings
Generate standardized and ad hoc reporting
Reviews and ensures accuracy of reports and client submittals
Uses telephone in performance of day-to-day responsibilities
Travels from floor to floor and / or between offices / locations to attend meetings / seminars and other related events
Performs other duties as requested by Branch Management, Account broker, Global CIS Manager or Direct Supervisor
Process management consulting
Implement standardized processes that create maximum efficiencies
Oversee development of standard forms and procedures
Establish baseline performance measurements at onset of relationship or periodic intervals
Develop performance measurements for internal benchmarking
Identify industry data for external benchmarking
Provide period reporting
Lead annual review
Has broad experience in the Lease Administration Service Line to oversee accounts and challenge Account Directors, Managers and Analyst to perform the following :
Implement and manage overall portfolio administration function
Recommend and implement process improvements
Develop and implement performance measurements
Able to manage and / or perform all lease administration tasks
Accountable for accuracy of data in clients’ portfolio management systems
Provide written and oral reporting of critical lease action items
Ensure accuracy of critical lease action date reporting
Oversee maintenance of database ensuring all data is accurately classified, approved and processed
Oversee and manage desk lease audits process
Manage review and processing of Estopple Certificates, Attornment Agreements and Commencement Date Letters
Manage sublease agreements including rent collections and subtenant billing requests
Ensure timely entry of all data and submission of reports
