Description The position exists for the purpose of providing excellent marketing support to the Marketing initiatives in terms but not limited in creating a clear written material (technical documentation) in support of the organization’s marketing programs in accordance with Emerson established editorial and style guides. Responsibilities
Duty 1 : Technical Documentation
Creates and updates content by encoding XML on DITA files.
Edits documents (e.g. Technical Notes and Configuration Data Sheets) using appropriate editing tool.
Performs internal quality check on technical documents requests (Standard / Checklist), including metadata.
Coordinates with web admin in uploading and posting of documents to Emerson site.
Coordinates with the stakeholders to obtain all content needed in creating technical documents (including details for metadata).
Coordinates with the stakeholders on content approval and publishing / posting of documents.
Creates and monitors the completion of a standardized approval work flow for technical documents using appropriate tools.
Engages third party vendor for translation, printing and distribution.
Updates documents based on branding guidelines (e.g formatting, style guide, etc.).
Maintains the photo library, logos, drawings and other design assets.
Checks and validates Emerson Branding concepts and design on all technical documents for consistency for both internal and external customers.
Performs basic troubleshooting and testing of updated technical documents. Escalates issues making sure issues / requests are resolved appropriately and on time.
Selects correct profile to render final format (ex. PDF) for technical documents.
Coordinates with stakeholders and third-party vendor in executing translation projects.
Package the source files of technical documents for translation.
Submit translation job request to translation vendor using vendor web interface tool and upload package files to vendor's site.
Match invoice to appropriate PO and route to accounting.
Coordinate with vendor and requestor to seek quote approval, communicate approval or rejection to vendor and update decision status in appropriate business system.
Analyzes and recommends scope of change request on translated document (ex. style guide, formatting, document content)
Duty 2 : Mailbox Management
Logs and updates project request form for reporting purposes.
Responds to technical writing and translations related inquiries.
Escalates inquiries to appropriate contacts.
Coordinates and validates with stakeholders on reporting requirements (output quality metrics).
Extracts / generates quantitative information from multiple business tools.
Gathers and collates data from different sources based on approved requirements (Established Simple Reporting).
Updates invoice tracker spreadsheet with all received translation job invoices.
Creates report / dashboard from different sources and submit to requestor.
Performs data validation to achieve data consistency.
Present report / s to stakeholders as needed.
Duty 4 : Project Management
Attends scope reviews to learn what the project request is all about.
Reports and coordinates issues / concerns with stakeholders.
Provides own work estimates and can negotiate turnaround time within the team.
Informs the project lead on changes.
Creates proposals using standard project templates and tools for projects.
Recommends improvement on technical document requests, projects and processes.
Taking good, clear notes on the project for possible future reference.
Duty 5 : Training Execution
Updates / revises training syllabi, course outlines, lesson plans, and content of existing materials (e.g. presentations, evaluation tools, etc.
for technical writing training courses conducted in Manila or wherever required.
Conducts basic / overview / awareness training on technical writing tool usage.
Duty 6 : Continuous Improvement
Identifies continuous improvement project ideas.
Participates in a Continuous Improvement Project using a problem-solving methodology, whenever a process improvement opportunity is identified.
Maps processes as part of the procedure documentation.
Participates in Manila and / or Business Units initiatives.
Bachelor’s / College Degree in Marketing, Communication Arts, English, Information Technology, Computer Science or equivalent.
Job Related Experience :
3 years cumulative experience in technical documentation or development of any marketing collaterals in an advertising, publication, shared services or equivalent industry.
Specific Knowledge :
Basic knowledge in XML Editor, CCMS administration, HTML, CSS, Client / Server Application
Intermediate knowledge in Adobe Creative Suite (i.e. FrameMaker, Photoshop, Acrobat, Illustrator)
Intermediate knowledge of MS Office application (Excel, Word, Outlook, PowerPoint)
Knowledge on sales and marketing, understanding of translation and website data workflows understanding of global and cultural interactions
Ability to read, analyze, and interpret general business periodicals, professional journals, corporate procedures / regulations
