Position Summary :

Responsible for the general administrative support needed in the delivery of HRSS requirements.

Overall Responsibilities :

Documents Management

  • Oversee the proper turnover of personnel file from recruitment upon hire and ensures that 201 files of employees are complete
  • Oversee the annual / quarterly and monthly Personnel File Audit and ensure resulting actions are implemented
  • Ensure that all personnel files and documents are securely kept and organized
  • Ensure the confidentiality and integrity of all information held on HR files, both manual and electronic
  • Provide monthly audit and update on the status of pre-employment requirements for new hires and employee ensure 100% employee compliance
  • Ensure data is entered in the appropriate HR systems upon request of employees in an effective and accurate manner.
  • Interacts with other departments for data transfers (eg Payroll, movements, etc..)
  • File all incoming employee documents in 201 folders
  • Organize the 201 file cabinets / rooms
  • Archive 201 files of separated employees
  • Ensure employee files are controlled, complete, and accessible to authorized parties.
  • Scan 201 files for soft repository and automation
  • Assist in providing document requirements for all types of audits.
  • Ensure completeness of endorsed documents prior to acknowledging receipts for audit purposes.
  • Receives, transmits and endorses documents to Client HRs’ / Employees
  • Helps other Associates assigned in different sites if needed
  • Statutory and Benefits Administration

  • Monitoring, tracking and Updating of processed statutory and benefits’ requests and requirements.
  • Coordinates, Update and inform employee of the status of their application / s and other concern related to it.
  • Respond and resolve queries and concerns of employees related to statutory and benefits
  • Processing of any statutory and benefits documents sent by employees and from government agencies
  • Ensure that all issues and concerns are dealt with on a timely manner
  • New Hire Orientation & HRIS

  • Responsible in orienting all new hire employees on Statutory and Company
  • Ensure data is entered in the appropriate HR systems upon request of HR and / or employees in an accurately.
  • Endorsement of Request for processing
  • Respond and resolve queries and concerns of employees related to HRIS
  • Tracking, monitoring and endorsement of New Hire Masterfile to CPI
  • Job Requirements :

  • HR background is preferred but not required fresh graduates are welcome
  • Strong attention to details
  • At least average in MS Excel
  • Flexible and willing to work in shifting schedule
