The position is assigned in the Afghanistan Resident Mission (AFRM) within the Central and West Asia Department (CWRD). CWRD is responsible for maintaining client relations and delivering ADB assistance to countries in the Central and West Asia region.

Afghanistan is a founding member of ADB. ADB supports the country's development in the agriculture and natural resources, energy, and transport sectors.

Job Purpose

The Logistics Assistant will assist the Senior Finance and Administrative Officer (FAO) in various logistical and administrative tasks of AFRM and Guest House (AFGH).

The incumbent will report to designated International Staff and Senior National Staff.

Responsibilities

  • monitors general building upkeep and maintenance, initiates actions for repair and improvements of all AFRM premises. manages the upkeep of equipment and supplies to operate properly and meet safety standards.
  • Inspect buildings' structures to determine the need for repairs, improvement and renovations

  • coordinates all installations office equipment including ACs, electrical cabling, furniture, furnishing, fit outs and refurbishments
  • monitors quality, economic use and maintains adequate stock of office supplies and detergent for office and AFGH. Monitors the work of cleaners, cooks and janitorial.
  • Review utilities consumption and plans to minimize costs and maintain adequate stock of supplies including consumables such as stationery, cartridge etc.

  • supervise all facilities staff (custodians, technicians, gardeners, cleaners etc.) and external contractors. Supervises contractors performing maintenance and renovation activities within AFRM premises
  • coordinates fuel supplies for AFRM AVs and generators, ensures adequate supply of LPG and fuel is maintained in AFRM at all times.
  • Control activities like parking space allocation and waste disposal etc.

  • assists in annual physical inventory of AFRM assets and updates regularly inventory record. Arrange documents for disposal of unserviceable assets
  • assists in monitoring AFGH operations by helping guesthouse care taker in the day to day work, including purchase of supplies, maintenance of assets and inventory record
  • initiates and assists in drafting documents for procurement of goods (RFQ, PO, GRN etc), collects quotations and drafts evaluation reports and competitive sheets
  • performs any other duties as may be required, such as retrieving files / documents for preparation of reports, preparing tables and charts for reports, assisting ADB visiting missions, and other routine office administrative functions.
  • provides back up support to Logistics Coordinator in the latter's absence.

    Qualifications

    Relevant Experience & Requirements

  • Bachelor's degree in business administration or relevant fields. Alternatively, university degree in related fields combined with additional relevant professional experience can be considered
  • Minimum of 5 years of relevant professional experience
  • Excellent written and verbal communication skills in English is required

  • General Considerations

    The selected candidate is appointed for an initial term of 3 years.
