Job Description

Performs a variety of administrative and clerical tasks. Duties of the Admin Assistant include providing support to Managers, Team Leads and employees, assisting in daily office needs and managing the company's general administrative activities.

Responsibilities :

  • Management / maintenance / stock control / monitoring / re-ordering / payment processing of stationary / office and pantry supplies;
  • including printer toner / ink cartridges.

  • Management / maintenance / stock control / monitoring / re-ordering / payment processing / Preparing Company ID / badge & Visitor's ID, ordering proximity and plain cards, printer ink cartridge.
  • Enrolls new employees to badge and biometrics system.
  • Prepares Purchase Orders.
  • Does off-the-shelve sourcing and purchases of office supplies, tools and equipment, fixtures, etc.
  • Liaison works with government agencies in compliance to mandated regulations.
  • Ministerial supervision of outsourced personnel : housekeeping, security guards.
  • Provides administrative support to ad hoc events and activities that include but not limited to supplies, logistics, accommodations, external events arrangements, etc.
  • Develops and maintains a filing system. Maintains and keeps available standard forms, e.g., Gate Pass, Work Permits, etc.
  • Assists all departments and employees in works like official courier, transport reservations, flight & hotel accommodation bookings among others.
  • Inventory and issuance of non-IT assets : mobile pedestals, lateral files, lockers; IT assets : laptops, mobile phones, peripherals and accessories.
  • Manages the schedule in using the conference rooms.
  • Updates bulletin boards.
  • Does asset inventory & submit monthly report of Fix & IT Asset.
  • Manages the CMDB Remedy Force system
  • Does asset tagging & monitoring
  • Requirement :

  • Candidates must possess at least a Bachelor's / College Degree, any field.
  • At least 4 year(s) of working experience in the related field is required for this position.
  • Proficient in MS Office (Word, Excel, Powerpoint and Outlook).
  • Good to excellent English communication skills.
  • Excellent organizational, multi-tasking and time management skills.
  • Applicants must be willing to work in Ortigas, Pasig City.
  • Full time position available.
