OFFICE ADMIN FUNCTIONS :

  • Ensuring that the office facilities are monitored and are sufficient to suit current and future staff complement.
  • Coordinate and manage records of office lease, furniture and fixtures, telephones, office keys and access.
  • Coordinate and direct office services, such as budget preparation and housekeeping.
  • Implementing, reviewing and updating health and safety policies and ensuring that they are properly followed.
  • Monitor Office maintenance such as regular aircon cleaning, pest control, carpet cleaning, testing for electrical equipment and safety devises.
  • Developing and implementing new administrative systems, such as record management and office administration.
  • Ensuring that executive needs of operations are met. These tasks include but are not limited to arrangement for meetings inside and outside the organization, collation and management of executive files and flight arrangement.
  • Monitor and update the Company on the status of any applications for visas, permits, licenses and clearances.
  • PEZA compliance knowledge is a mus
  • Other tasks as instructed by the Operations Manager
  • Qualifications :

  • Bachelor's / College Degree, Business Studies / Administration / Management, Psychology, Human Resource Management or equivalent
  • Must have a solid background in the formulation and implementation of HR policies and programs
  • Experience :

  • Preferably more than 5-7 years’ experienced employee specializing in Administration or equivalent
  • Experience in different facets of Administrative functions is preferred.
  • Proven evidence of the ability to practice a high level of confidentiality.
  • Skills (Management skills, Communication skills etc.)

  • Fluent in both spoken and written English
  • Ability to communicate / liaise with all levels of management and staff
  • Demonstrated conflict resolution skills and sensitivity to staff related issues.
  • Ability to work alone on a broad variety of projects
  • Demonstrated ability in the following : Decision making; Organizational skills; Leadership skills
  • Demonstrated confidentiality in dealing with sensitive matters.
  • Demonstrated understanding and experience of the recruitment and selection process.
  • Values integrity and team work as key factors in achieving organization harmony and success
