Overview

This role has been created due the creation of an MSP entity in Manila.

The role will mirror the current CSM who will remain with the ITOM entity.

The successful candidate will support with the transition to a new office and then continue to manage the day to day operations and facilities of the new MSP entity.

Responsibilities

  • Manage Facilities Team (approx. team of 2 / 3).
  • Manage the project bidding proposals from vendors, providing them with the list of SW requirements
  • Manage accreditation of new vendor (facilities side).
  • Monitor schedules for facility maintenance (pest control and general cleaning of production floor).
  • Manage inventory and purchasing of office, medicine, toiletries and other cleaning supplies.
  • Review and monitor monthly charges of third-party services.
  • Maintain / update information lists ie vendors details, building contact lists, badge lists etc
  • Arrange travel and accommodation booking for company visitors.
  • Coordinate catering and other needs for diverse company events.
  • Manage request for equipment from teams.
  • Coordinate with the teams to create a Fire / Earthquake committee to plan for the drills and provide assistance to employees.
  • Assist teams in cases of emergency.
  • Manage monthly accident and illness reporting.
  • Assist HR with health and safety awareness.
  • Conduct facilities orientation with the new hires
  • Manage facilities related requests for new employees ie parking, stationery, vending machine.
  • Manage the purchase and inventory of welcome kit for new hires.
  • Mange announcement of company events in timely manner.
  • Filing of documents with PEZA where required.
  • Renew business permit and other government permits and certifications annually.
  • Qualifications

  • 2-3 years strong administration experience an advantage
  • Experience of supervising or managing a team
  • Experience of managing a project / project management beneficial
  • Basic Occupational Safety & Health (BOSH) certification / training an advantage
  • Professional telephone manner
  • A self-starter able to work in a fast-paced environment and meet agreed deadlines
  • Excellent interpersonal and communication skills (both written and oral)
  • Strong PC skills required - Must be proficient with MS Office Suite (Outlook, Word, Excel, PowerPoint)
  • Excellent problem solving, organizational and time keeping skills
  • Confident in a client facing role
  • Experience handling multiple tasks and deadlines
  • Energetic, committed, self-reliant and resilient
  • Fluent English
