Job Purpose
Key resource within the clients Maximo Quality Control Office, helping to ensure all work orders initiated in Maximo variable spend system are complete, compliant and meet the requirements for client approval.
Review required information / documents and follow-up with users if information is incomplete and ensure timely approvals obtained.
Number of work orders : 7,000 in 2022 globally
Key responsibilities
Maximo training and understanding of internal controls and processes for variable spend
Ensure / increase data quality in Maximo
Ensuring / adhering to the variable spend process with a focus on governance / compliance
Execution of a "2-level check" for each newly created Work Order (all regions, all provider codes, all spend types)
Check of content, completeness & data quality according to defined data fields / checklist.
Check regarding governance / compliance (correctness and completeness of Approval List)
Complete / correct work order : release in the system and start of official approval process
Incomplete / incorrect work order : rejection in the system & clarification / feedback INITIATOR (if necessary contact / support via email / phone)
Control office opening / Processing hours : Mon - Fri during office working hours 08 : 00-17.00 (local time per region for EMEA, Americas and APAC)
Processing time per work order (execution of "2-level check & release / rejection) : 48 hours
Contact, support & clarification via system / mail or phone
Assist with any other variable spend related projects / queries
Report any Maximo deficiencies
Qualification
Bachelor's degree (BA / BS) from 4-year college or university required
Bachelors degree in Accountancy, Finance, or any business related courses is preferred
Working in an environment where delivering information within tight timescales is a pre-requisite
Understanding compliance related requirements and delivering against the requirements promptly
Working with multiple stakeholders and engaging through effective communication skills
Providing management with summary of analysis and proposed solutions
Demonstrable experience working with operational systems and controls in a large business that provides consistent and reliable information
Focus on strong focus on customer service
Previous experience of a customer-facing role would be an advantage
Presentation skills to effectively communicate ideas and results to senior stakeholders
Excellent PC based skills, with experience in Word, Excel, PowerPoint and Outlook intermediate level skills
Organized and open to new ways of working to challenge inefficiencies
Excellent communication skills both written and verbal, and able to communicate with people at all levels across the account and develop effective relationships at all levels
Understanding spend approval systems
Willing to work on mid-shift schedule (UK hours) - starts at 5PM Manila Time
Willing to report onsite (HYBRID arrangement) depending on business needs
