COMPENSATION & BENEFITS (C&B)

Payroll / Salary Administration

Payroll administration to ensure timely payment and accurate data entry. Prepares attendance and timekeeping to ensure that salaries and other compensation are reviewed prior to crediting.

Coordinate the payroll process with Payroll service provider and Finance Dept. for all employees

Supports HR Manager in preparation of employee cost for annual budget exercise, and participate in yearly Productivity exercise during budget session.

Monitors manpower budget and productivity guidelines to ensure compliance

Prepares, conduct and participates in Regional C&B survey to ensure competitiveness in the industry

Merit / Bonus / Equity

Supports the HR Manager on yearly Merit Increment Proposal calculations & documentation

Promotion Approval submissions to Regional C&B

Responsible for PDP Merit Increase, Bonus and Equity Exercise calculations & worksheets

Responsible for Total Rewards communication sessions

Support HR Manager to ensure that all employee PDP goals and plan are submitted

HR Rewards System

Responsible for HRC Reward system entries, profile creation and updates for the employees.

Ensure HRC Rewards system entries / data are accurate and current through regular data cleansing.

Global Grading (GG) System

Responsible for submissions to Regional C&B grading of new roles

Responsible for GG communication via Letter of Appointment (LoA), GG statements, job postings, requisitions, employee briefings.

Review job descriptions of office employees with Head of Departments, making recommendation as business and organizational needs changes and review same with HR Manager and Regional C&B

Responsible for Job Description template submission to Regional / Global Talent Acquisition as required

Regular update of Affiliate Organization Chart and submitted at agreed timeline / deadline

Custodian of 201 file

Payroll Process Reconciliation (PPR)

  • Responsible for monthly reconciliation of payroll process data vis-à-vis HR Connect entries
  • BUSINESS PARTNERING / HRBP

    Company Policies & Procedures, HR Processes & Systems

    Keep abreast of changes in local labour laws and practices and proactively manage labour / employee relations that are consistent with local requirements to ensure an environment 'of trust and collaboration

    Creates HR policies with input of HR Manager & Country Manager

    Support in communicating HR processes, policies and procedures to employees, and ensures execution and compliance with Company HR policies, practices and procedures.

    Responsible for HRConnect entries, work collaboratively with People Managers to ensure updates of employees data entries.

    Ensure HRConnect entries / data are accurate and current through regular data cleansing.

    Support HR Manager in generating and analysis of employees statistics and data

    Submission of HR Accruals / Leave Accruals, Calendar and Fiscal Bonus, Payroll Accrual and Actual Reports

    Ethics, Compliancy & Disciplinary Issues

    Responsible for yearly Code of Conduct compliancy exercise

    Ensures compliance of employees on Pre-employment requirements, medical requirement; i.e. Annual Physical Exam, Annual Executive Check-up.

    Talent Acquisition

    Conducts sourcing and initial screening of non-managerial talent requirement of HO prior to endorsing to hiring manager.

    Builds salary proposals and packages for new hires, promotion cases and assignments

    Conduct job offer for non-managerial position, and facilitate pre-employment requirement.

    Prepares Letter of Appointment (LOA), Training and Travel Bond documents of new joiners

    Learning & Development

    Facilitates HR Connect and Free Goods system orientation to new joiners

    Facilitates HR Employee Benefit entitlement and processes orientation during Corporate orientation

    Acts as SAP Training Coordinator together with other SAP POCs.

    Source out resource person for Lunch & Learn and Employee Activities relative to employee health and wellness

    Employee Engagement & Relations

    Support HR Manager and Head of Departments on activities that build unity, engagement pride in ELC and a strong ELC Company culture that reflects its mission and values to be an Employer of Choice

    Supports HR Manager in timely and efficient delivery of HR programs and solutions by communicating intent and dealing with concerns raised by employees.

    Reward administration for any Employee Referral Program for both office and field employees

    HR Administration

    Lead the annual insurance review and prepare necessary information for HR Manager to further review.

    Check and validate insurance, medical and dental claims submitted by employees and process accordingly.

    Maintain and ensure accurate free-goods / product allowance allocation and data in the FreeGoods system.

    Qualifications

    Bachelor’s Degree, Psychology, Behavioral Science, or any 4-year business related course

    3 years of relevant experience, retail / customer service background is preferred

    Must have good organizational, interpersonal and communication skill

    A self-starter and results-oriented

    Must have keen attention to details, independent, proactive and a problem-solver

    Proficient in computer applications such as Excel, Word, and Powerpoint,

    Familiar with HR Business Systems a must

    SAP knowledge and exposure an advantage
