About SPO Support Services

The team is strategic in establishing the relationship between vendors and Manulife during and after the procurement process by maintaining a core focus on client satisfaction ensuring Global Procurement Office (GPO) have the resources and tools to provide the organization with world-class purchasing support that would make every decision easier and lives better.

Job Summary :

This role provides operational support to the Strategic Procurement Office (SPO), particularly in providing legal contractual support.

The role is strategic in assisting the relationship between Manulife and its vendors during and after the procurement process by maintaining a core focus on client satisfaction to ensure that the Strategic Procurement Office (SPO) and Procurement Centre of Expertise (CoE) have the resources and tools to provide the organization with world-class support in any procurement activity and at the same time adhering to the core values of Manulife.

Key Accountabilities :

  • Perform drafting and review of all types of procurement contracts and other legal documents between Manulife and external parties or between Manulife entities, including but not limited to : Non-disclosure Agreements, Master Services Agreement, Master Consultancy Agreement, Statement of Work, License Agreements, Software as a Services Agreement, Event contracts, Addendum, Amendment, Renewals, Non-renewals, Termination letters
  • Utilize and manage the systems and tools used during the procurement process
  • Provide contractual and administrative support during procurement activities, such as but not limited to the following : Prepare and sends out Non-disclosure agreements as required;
  • Assist with creating and maintaining standard procurement templates, such as but not limited to : Request for Quotation (RFQ), Request for Proposal (RFP), etc.

  • Support the RFI / RFQ / RFP process and completion of business case analysis through consolidation and interpretation of vendor response spreadsheets for team review;
  • Sends out the necessary communications to Manulife business requestors and to vendors

  • Coordinate with other business units to ensure compliance with internal and regulator rules and policies;
  • Facilitate contract signing through the use of the appropriate tool, and ensure that signatories are aligned with internal policies;
  • Ensure company compliance policies / standards / business procedures / documentation requirements are adhered to;
  • Performs legal study or research as needed to complete all contractual activities;
  • Prepare reports as required by clients and stakeholders;
  • Review the quality of work of junior staff to ensure quality standards are met
  • Train and coach junior team members to calibrate their skills and to onboard new members of the team
  • Identify best practices for implementation
  • Effectively lead the weekly discussions with the BU
  • Provide subject matter expertise and in-depth knowledge of an end-to-end contract management process including integration points and tools used
  • Assignment of other ad hoc projects
  • Minimum Qualifications :

  • Graduate of Bachelor of Laws or Juris Doctor degree, or at least third year status;
  • Graduate of 4-year course, legal or finance related courses;
  • Experience in contract drafting and review;
  • Exposure to drafting and review commercial contracts is an advantage;
  • Background in procurement is an advantage;
  • Proficient business English (written and spoken);
  • Experience working in a BPO industry is an advantage;
  • Experience working in or with multinational companies and foreign or international vendors;
  • Strong interpersonal skills and service-oriented attitude;
  • Exceptional multitasking skills with an aptitude to make the right decision on competing priorities and deadlines;
  • Strong computer skills and proficiency with MS excel, Word, Access;
  • Excellent communication and problem-solving capability;
  • Attentive to details and quality, well-organized, innovative and result driven;
  • Self-starter with high level of initiative;
  • Exercises sound and reasonable judgment;
  • Operates in a professional and ethical manner with customers and vendors;
  • Willing to work in morning shift (PHT)
