We currently have an opening for a Senior Proposal Coordinator / Bid Manager to join the North America Manila Proposal Team.

The Senior Proposal Coordinator / Bid Manager will support ongoing sales for mid to large pursuit teams. As a key part of the North America Manila Proposal Team, the Senior Proposal Coordinator / Bid Manager works with pursuit leaders in North America to lead, drive and coordinate positioning, strategy, and proposal activities before and after the request for proposal (RFP) has released.

This position does not formally manage a team of support staff but receives support from peers and junior staff.

The Senior Proposal Coordinator / Bid Manager works with pursuit teams to develop capture strategies, assisting with research efforts, and / or leading full proposal from end-

to-end in response to RFPs or similar. It is imperative that the Senior Proposal Coordinator / Bid Manager quickly develops a comprehensive understanding and knowledge associated with the pursuits and clients once assigned.

The Senior Proposal Coordinator / Bid Manager must take a leadership role to guide pursuit teams through the positioning, proposal management and interview stages, and play a key role on pursuit teams to support pursuit strategies and top opportunities.

This is a senior position that requires strategic thinking, flexibility, planned and proactive approaches, and the ability to shift priorities frequently while maintaining attention to detail and achieving high quality standards.

Senior Proposal Coordinators / Bid Managers must be able to speak and write in English, delegate, prioritize, multi-task, function effectively under multiple deadlines and time constraints, schedule their workload and manage time efficiently in a high-

pressure, fast-paced environment while demonstrating an energetic can do attitude.

Job Responsibilities / Activities :

Proposal and Shortlist Phases : Takes on a leadership role in the proposal and shortlist stages; primarily responsible for addressing client needs and implementing win strategies aligned with the knowledge collected throughout the positioning stage.

  • Serves as Capture Manager / Proposal Manager / Bid Manager leading the pursuit team through the kick-off call, check in calls, and review calls through the development of proposal and for QAQC
  • Develops drafts, review documents and final proposal from end-to-end based on RFP requirements
  • Develops and communicates effective win strategies and can effectively and proactively carry those through to the proposal and shortlist presentations
  • Proactively manages and requests support from other colleagues as needed
  • Proactively manages and requests support from graphic designers for proposal layout and specialized graphic support (covers, tabs, proposal graphics) including Powerpoint development after shortlist
  • Understands and manages when it’s critical to request support from other shifts in Manila to keep the flow of work and development of documents to meet deadlines
  • Understands and incorporates Arcadis branding while balancing client needs and requirements
  • Arranges for local NA print production and delivery of the finished proposal
  • Proactively interviews technical staff to tailor and / or write and proofread resumes, project descriptions and other proposal information
  • Incorporates necessary updates into Cosential database upon proposal closeout
  • Leads and manages Pink and Red team reviews as well as QAQC reviews
  • Co-leads the shortlist process to meet all client needs and align proposal themes and messaging with the knowledge collected throughout the positioning and proposal phase into the presentation
  • Drives the preparation and practice sessions of presentations while supporting the pursuit team with presentation skills and delivery
  • Required Qualifications :

  • Bachelor's degree in English, communications, journalism, marketing, business administration, engineering, science or architecture or a related field
  • Minimum 5+ years of experience as a marketing, proposal or business development coordinator or specialist is required.
  • English written and verbal communication skills and professional demeanor
  • Speaks clearly and concisely, listens and gets clarification in one-on-one and group situations
  • Prior experience as a bid manager is an advantage
  • Experience developing and writing proposals
  • Thorough understanding of the RFP and proposal development processes
  • Able to work flexible schedule (e.g., extra hours to meet deadlines, including occasional weekend working, etc.) and able to shift priorities frequently while maintaining attention to detail, meet deadlines, and achieve high quality standards
  • Strong planning, organizational, negotiation and time management skills; must be able to work and communicate effectively with diverse internal staff (technical, operations, client development) and teaming partners and give clear, concise directions;
  • able to understand and organize large volumes of information.

  • Should be able to identify gaps, issues, inconsistencies, or any potential risk against the proposal requirements
  • Skilled in Microsoft Office Suite and Adobe Creative Suite a plus
