Role Summary :

The role of HR Associate US Leave and Absence Management is to support administration and processing of all leave of absence, including Short Term Disability (STD), Family and Medical Leave Act (FMLA), Workers’ Compensation (WC), Military Leave, Parental Leave, and State Leaves, in accordance with Company policy and / or state, federal or local laws for U.

S. Salaried employees. Oversee coordination of leaves with the locations, key stakeholders, supervisors, and managers.

Major Duties and Responsibilities :

Manages and responds to ServiceNow tickets from employees, managers and HR partners within the Service Level Agreement

  • Functions as the primary contact for Leave process questions / concerns and respond timely to inquiries for Salaried employees.
  • Educates employees and managers on the leave process and related policies. Interpret and communicate leave data utilizing information in Hershey and third-party provider systems.

    Conduct follow-ups on leaves with third-party provider when needed.

    Manage coordination and communication of Leave information

  • Processes the weekly Salaried Leave communication mail merge, utilizing Third-Party Provider weekly absence reports. Utilizes reports to identify Denied claims, State Disability leaves, Military, and Personal leaves and provides information to Absence Analyst for review and action as required.
  • Prepares and sends communications to employees reaching income replacement reduction period; prepares and sends communication to employees regarding stop pay.

    Monitors approved claims approaching various thresholds of extended leave and partners with the HRBP to ensure timely communication of employment status.

    Sends the appropriate State Disability information sheet to employees as necessary. Provides employees’ job descriptions to Third-Party Provider as requested.

    Process Pay entries in SAP for bi-weekly payroll

  • Process Salaried and Part-Time time and pay entries (Sick, STD, Military, Parental, etc.) in SAP for bi-weekly payroll.
  • Analyze leave reports and time and payroll entries to identify any overpayments and report to payroll. Identify any eligible state leaves and coordinate with payroll for accurate pay processing.

    Monitor changes to State Disability insurance rates and coverages each year and apply changes to the report sent to payroll.

  • Manage Merit Increase and Short-Term Incentive leaves processes; utilize leave information to maintain Merit Increase and STI reports;
  • update reports upon employee return to work and partner with HR Operations Team to apply the eligible merit increase.

    Stakeholder Management :

  • Interacts with employees, managers, payroll, vendors, and members of the absence management team, as necessary. Work with the absence management team to implement process improvements, create and maintain process documents, integration of programs, streamline workflow, facilitate communications and automate processes.
  • Minimum knowledge, skills and abilities required to successfully perform major duties / responsibilities :

    Knowledge :

  • Knowledgeable in US Leaves Family and Medical Leave, State Leaves, Short Term Disability Leave, Military Leave, etc.
  • Experience in Workers Compensation
  • SAP or ServiceNow knowledge
  • Knowledge in Microsoft Office (Excel, Powerpoint, Sharepoint)

    Education / Experience :

    Education : Associates Degree or beyond or equivalent training or experience.

    Experience :

  • At least 3 years experience in US Leave Management
  • At least 1 year experience in any Customer Service related position.
  • Must have direct experience in handling US leaves.
