The position shall be responsible for handling all crew documents submitted to RCM as well as assisting crewmembers in the processing, renewing of documents leading to a successful early dispatch before joining the ship.

The position reports to the Mobility Center Supervisor and is responsible for ensuring that all documents received are properly handled / endorsed with the ultimate goal of dispatching CMs in a timely manner, and without delay to their scheduled sign on date.

The position also requires interaction to crew to assist them in the submission, processing and dispatch of documents.

Essential Duties and Responsibilities :

  • Receives, enters and endorses to relevant parties all documents that have been received from crew
  • Performs counter-checking of the status and validity of documents and advises CM on what needs to be renewed
  • Maintain a systematic filing system of all documents received from crew
  • Monitors crew documents to ensure all required filing and processing are done before CM joins the ship
  • Prepare dispatch documents, including but not limited to dispatch letter, letter of guarantee, OKTB and other materials required prior to joining the ship
  • Coordinate with our partner courier services for the delivery and receipt of crew documents
  • Maintain, update, clean-up and distribute to authorized users, the monitoring file used in tracking the documents submitted to RCM
  • Coordinate / communicate with the Processing Team the status of all joiners who cannot make it to their scheduled assignment
  • Assist CMs in answering their queries about document status, visa renewal, CFW first level concerns, uploading of documents to CTRAC, scheduling assignment / issues, dispatch and other matters brought to their attention
  • Prepare Sea Service Certificates, Letter of Endorsements, and other similar correspondence / reports needed by crew
  • Job Requirements

    Qualifications, Knowledge, and Skills :

  • Graduate of any 4-year course
  • At least 2-year experience in the Maritime / Cruise Line Industry and shoreside operations
  • Excellent Customer Service Skills
  • Excellent communication skills
  • Knowledge in Maritime rules and regulations
  • Team player
