The NAS Project Services Senior Analyst role is primary functional and technical liaison between ADP and the client. Provides client with accurate workbooks e.
g. acquisition checklist, paygroup workbook, and makes contact with the client to collect information and complete documents accurately and in accordance with the project timeline.
Verify appropriate access to support engagement & obtain necessary access as applicable (application), if applicableresponsible for capturing and storing before and after screen shots of the configuration for SAS70 compliance.
Once project is assigned, associate will review all available project documentation and review all specifications that are being changed prior to reaching out to the client for conversations
Within (48) hours of project assignment, associate will notify client and / or internal partners for receipt of request and next steps;
keeping internal partners and client informed throughout the process.
Consulting and driving best practice solutions. Developing functional specifications, and establishing project deadlines. Mitigating risk.
Develops project plan including tasks, owners, dependencies and durations.
Expected to keep all case notes and project status updates in Siebel and Planview
Holds meetings with clients and is able to travel, when requested
Maintains % to complete on the project plan
Opens all requests for resources to adhere to partners SLA ( migration, ftp, etc.)
Proactively considers and adheres to partners SLAs and / or project timelines by submitting resource and / or activity requests before the need.
Verify Scope of the project with Client or Partners, obtain change control or new SOW / Change Request if applicable
Works (with team if applicable) to identify scope changes, documents, and issues appropriate change control for changes (e.
g. change in functionality, additional testing requests, client delays)
Resolves issues and communicates to project stakeholders on or before issue due date
Identifies reasonable risks and works with internal and external partners to develop a mitigation plan.
Accurately sets up and maintains survey fields in PV. Understands and uses the Medallia system to support the survey process and knows when quality surveys will be sent to clients.
Communicates to clients during project kick-off and nearing project completion of survey process
Deliver world-class service to all clients internal and external resulting in 8 or greater survey score
Development testing Plans : Reviewing and ensure end to end custom integration - developing timelines, milestones and strategy and contingency.
Ensures non-promoter feedback is turned into actionable / executable tasks & support the close loop process
The Associate's engagement does not result in request made by internal partners or client for removal from project / account
Manage projects to avoid escalations and proactively validate
Notifies leads / managers of at risk client so that further mitigation actions can be planned
Always presents a professional demeanor and strong client facing skills
As required, calls the client or internal partners (e.g. to address questions, test results, concerns, and / or obtain necessary clarification);
follows up meeting with recap to client and internal team members.
Ensure transitions to service are conducted timely and project documentation is provided, if applicable
Follow "warranty end" procedures and notify all parties of warranty completion date
Forms strong relationships with internal and external partners.
Harmonizes client, vendor and ADP terms into common understandable terms.
Prepares in advance, for meetings with effective agenda to support each meetings purpose; collaborates, in advance, with resources to obtain / ensure agenda topics meet the objectives.
Professional in all communications internally and externally, with communications addressed to appropriate parties
Responds / Acknowledges client emails even if they do not have a resolution and provides timely (10, 2, 4) updates to clients, sets realistic expectations and ensures agreement on decisions.
Sets realistic expectations and ensures verbal discussions / agreements are followed up with written communications
Works well with and treats all clients, ADP partners and co-workers with respect
Follows up with client on pending specification approval to minimize project delays.
Identifies scope changes, documents, and delivers appropriate change control information to the Project Manager e.g. change in functionality, additional testing requests, client delays
Identifies, documents, and maintains realistic project risks and works with appropriate parties to develop risk mitigation plans.
External risks require collaboration and input from clients. Internal risks should be addressed within PS org and include internal partners as / when appropriate.
IC is viewed as an internal partner, capable, and not a blocker
IC's interactions aligns with ADP core values
Accurately forecast Starts in the backlog and works with Starts Champions to ensure timely revenue recognition (if applicable)
Accurately records and maintains fields in PV. Timely and accurately records time in PV
Adheres to milestone (or monthly) billing when project exceeds 300 hours, if applicable
Ensure client is aware of billable activities
Ensures billing does not result in credits due to incomplete delivery or incorrect invoicing or lack of documentation
Ensures project budgets do not exceed 10% overage without review from manager / squad lead
Expected to keep all case notes and project status updates in OneNote, Siebel and Planview.
Follows Service Credit / Discount process as outlined for Project Services
Maintains a minimum of project utilization average based on target utilization
Understand financial goals for team and can accurately forecast 30-60-90 days out
Complete all mandatory training on-time
Shares best practice learnings with the team
Clearly articulates the scope of work and provides functional clarification to the client, vendor and internal partners
Initiates, conducts, leads, and drives functional / technical communications, including meetings, with clients, vendors, and internal partners
Understands the clients CBI and provides options and best practice to align with clients' needs
Ensures all project documents are stored in Siebel and / or Planview e.g. SOW, approvals, etc.
Prepares for and participates in lessons learned; documents, stores and shares across PS teams as needed.
Provides client with accurate workbooks e.g. acquisition checklist, paygroup workbook, and makes contact with the client to collect information and complete documents accurately and in accordance with the project timeline.
Is willing to travel to support client or internal face-to-face initiatives.
Bachelors degree(BA / BS) in a related field or equivalent in education and experience
1-3 years of experience (Strongly Preferred)
Requires knowledge and experience in HCM area of expertise; still acquiring higher-level knowledge and skills.
