Job Background / Context :

HR Shared Services provides On-boarding, Employee Life-Cycle, Off-boarding, Benefits, Payroll, administrative support and HR systems support to Citi employees.

In partnership with HR, HRSS strives to provide excellent customer service through its product offering to employees and managers whilst focusing on process re-engineering and initiatives to enhance the Shared Services model in Citi.

Job Purpose :

The C&B Compensation & Equity Specialist’s primary role is the provision of accurate and timely processing of the Compensation and Benefits processes to Citi employees.

This role reports to the C&B Compensation & Equity Team Lead.

Key responsibilities :

  • Perform processes related to compensation and equity such Year-end and Mid Year processing, Deferred Cash Payment, Stock Awards, RIF Administration, Tax Data Collections.
  • Preparation of adhoc reports and analysis and other report requirements including : Perform eligibility checking, validation of supporting documents and securing necessary approvals on awards, bonuses, incentives, stock options, salary increases, allowances to be granted to employees
  • Validate calculated percentages and validate rates for increases, bonus and incentives as necessary (for in scope processes)
  • Ensure accuracy of compensation and equity related payments and deductions calculated in the payroll or any other payments system.
  • This requires in-depth knowledge of company policies & other systems interface.
  • Able to communicate compensation rules, policies, and delivery to employees as necessary ( for in scope processes)
  • Generation and delivery of reports to various requesters (employees, third parties, HR, etc.) as requested / needed
  • Handle process for Citicomp such as administration of baseline checks and ensure gaps are captured in the baseline file and the required data in HRMS is updated including Mid-year and Year-end comp. process.
  • Ensure accuracy of Year End and Mid Year Compensation Cycle and Equity Compensation transactions. This requires in-depth knowledge of company policies & other systems interface.
  • Interface with third party providers on processes which impact C&B and Mobility administration deliverables
  • Administer reconciliation of accounts e.g - For expats, NY transfers funds for tax payments. Need to transfer the funds to the local fund where payment is made from.
  • Credit into business and after payment, debit so it's neutral gain.

  • Act as tier 2 point of contact for escalations, issue resolution and policy clarification related to Compensation Equity, Mid Year and Year End Compensation Planning
  • Manage different Comp tools (e.g. Citicomp, ECDW, CERA HRMS, RMS, OSC vendor systems) and other related databases used for Compensation & Equity administration including investigation and resolution of errors, system testing, business case scenarios, etc and Maintain compensation records of employees
  • Process Vendor Payments and reclass journal entries for proper business charging.
  • Process data management changes in HRMS to ensure accuracy of employee compensation records
  • Participate in the transfer of services from country operations to the Manila CSC based on HRSS project methodology and Standard Operating Model
  • Prepare relevant reports and forecasts
  • Provide ad-hoc services as required by the Business or HR
  • Contribute to a culture of continuous improvement within the HRSS team.
  • Administer all data needs in relation to Compensation process conforming to service levels and timeframes
  • Enter and track data through a number of systems including Online Service Center
  • Furnish the Team Lead with the requisite data to respond to employee inquiries and error reports
  • Participate in projects / additional functions as required / necessary
  • Handle compensation delivery via payroll, in kind, via third party, or cash payment outside of payroll
  • Able to communicate Compensation rules, policies, and delivery to employees.
  • Prepare legal and statutory reports to government and third party vendors. This also includes other reporting requests by the customer
  • Responsible for document management, draft and keep current complete operations process manuals including flow charts with key control points, process steps and procedures.
  • Provide the customer with support and data for internal and external audits. Ensure compliance to existing standards and other applicable laws.
  • Handle and perform compliance testing to ensure that processes meet business controls requirements.
  • Expected to maintain Service Level Agreement (SLA) and / or Internal Measures for the processes handled through accurate and timely performance of processes
  • Support in documenting monthly Compensation & Equity scorecard, including issue / resolution tracking, running of regular control reports and track volumes
  • Serve as back up resource for other service owners as needed
  • Responsible for documenting Root Cause Analysis (RCA) for any service delivery issue or misses depending on severity
  • Able to identify work process improvements and issue prevention and discuss with Team Leader
  • Knowledge / Experience and Qualification

  • Motivational fit willingness to work in a shared services team
  • Accounting background / experience preferred
  • At least 6 mos 1 year experience on HR operations / Service delivery-payroll, comp. & Ben. administration work including Expat.
  • Administration & Mobility

  • Proficient in MS Applications (Word, Powerpoint, Excel)
  • Working knowledge of HR systems including payroll, comp.& Ben. systems highly desirable
  • Work experience fr. Investment Banking industry and familiarity w / compensation and equity process is an advantage
  • Fluent in English in both written and verbal communication
  • Strong interpersonal skills
  • Able to handle high volume of work and adaptable to change

  • Able to rapidly learn technical and business techniques and knowledge
