SUMMARY : The Administrative Assistant is responsible in providing assistance and support for the Manila office as may be required by the Administrative Manager.

This includes, but is not limited to, coordinating and implementing administrative-related activities, events, and other general company requirements.

The ability to multi-task, while managing administrative support, is essential in this position. The ideal candidate for this job is resourceful, a good problem solver and organized.

RESPONSIBILITIES : Administration

Administration

  • Follow up and attend to administrative-related work requests through e-mails and calls.
  • Monitoring of Meetings and Meeting / Training Rooms.
  • Update distribution list for Managers, TLS and point persons
  • Conduct new hire orientation (house rules, photo and signature capture, etc.)
  • Coordinate office procedures
  • Develop and update administrative systems to make them more efficient
  • Ensure all Admin and Facilities office signage and communication materials in the company intranet are updated
  • Coordinate and assist the Facilities team and other support teams on their requirements.
  • Company Activities and Communications

  • Assist in logistics and set up of recreation facilities for special events.
  • Assist purchaser in items that may need branding requirements
  • Keep content in the different internal media (LCD, Bulletin Board, Yammer etc.) timely and updated. This conceptualization, layout and editing of content for internal media materials as necessary
  • Others

  • Assist with FactSet committees’ activities (Health and Safety, CSR and others)
  • Other tasks that may be required by the Administrative Manager
  • Perform other duties as required for the efficient and effective running of the Office

    REQUIREMENTS AND QUALIFICATIONS :

  • 6 months to 1-year related work experience
  • Good verbal and written communication skills
  • Proficient in MS Office Applications
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Strong organizational and planning skills
  • Team player with abilities and desire to interact with people at all levels
  • Creative (with basic design / layout experience desired)
  • Graduate of any college course
  • Exam and Interviews

    Work shift is from Monday to Friday but may be required to report one Saturday a month for event or CSR related activities
