Executive Assistance

Supports general business operations by providing various administrative support activities as a generalist or in a combination of Disciplines in the Administrative Services Function

  • Oversees opening, sorting and routing of incoming and makes preparations for outgoing correspondence, post, mail and packages;
  • organizes special mailings

    Ensures that reservations for air travel, car rentals, overnight accommodations are accurate and that itineraries, tickets and instructions are available to employees on a timely basis

    Travel coordination, events / seminars / conferences coordination for Regional and Pontoon Philippines team

    Assists in coordinating travel schedules for Global Senior Management arrangement and agenda in preparation for on-site and off-

    site meetings, conferences and events

    Booking of all travel including flights, visa and accommodation for APAC based employees - Point of contact for APAC and Philippine colleagues for travel management / policy adherence

  • Acts as the first point of contact for internal facilities issues, and logs all maintenance, cleaning and office / location services and refers related issues to the appropriate personnel;
  • negotiates contracts for services such as cleaning and maintenance, etc.

    Office and Procurement Management

    Kitchen & office supplies, IT support, facilities management, tenancy management

    Reception Duties, meeting and room reservations

    Liaising with the procurement team to manage and deliver Pontoon orders

    Events Coordination

    Team buildings, Christmas, Town Halls, Management Reviews, Program Reviews, Win4Youth, Employee Engagement activities

    Experience with senior executives and managers as this role will work directly with Management Team at certain points in time

    Adhoc projects throughout the year as directed by management

    Special Projects

    Site governance initiatives pertaining to Operations and support

    Audits, coaching, productivity, efficiency, lean boards, training

    Surveys, GPTW, Win4Youth, Newsletter and Marketing, Time Control, etc.

    College degree or equivalent years of experience

    3-4 years’ experience working within an Admin role for a major corporate business

    Global, matrixed organizations (time zones, management structure, etc.)

    Preferred experience in BPO, PEZA environment

    Multi-tasking experience in a fast-paced environment, completing work tasks with speed and accuracy in a detailed work environment.

    Strong relationship / rapport building skills

    Ability to follow process flows, but also think outside the box to identify and articulate improvement opportunities

    Experience with senior executives and managers as this role will work directly with Management Team at certain points in time

    Proactive, able to solve problems and communicate effectively

    Ability to provide travel support for global and regional travel (air, local, hotels, and car service)

    Self-sufficient and able to learn quickly

    Must be proficient in Office Suite 2010+ - PowerPoint, Excel, and Word

    Proactive, able to solve problems and communicate effectively

    Good communication skills (both verbal & written) with an ability to listen & respond to internal customer

    Ability to maintain strict confidentiality and discretion

    Possess initiative & drive; with strong desire to continuously improve processes & deliver against agreed objectives and service levels

    Ability to make decisions that impact service levels with a sense of urgency

    Ability to work effectively in a team and willingness to help others and build strong relationships remotely

    Strong problem solving & trouble shooting skills

    Strong work ethic, mature with positive and can-do attitude
