Overview and Summary of the Role
To increase the efficiency and timeliness of Valuers by providing administrative support in the preparation of files and booking of daily runs.
Specific duties will include :
Accurately entering job requests into TOTOM in a timely manner;
Maintaining WIP queue;
Scheduling appointments for Valuers (Scheduling Team)
Ensuring correct work processes are followed.
What this job involves?
Provide high quality support to Valuers
Phone external contact person to arrange a valuation appointment, ensuring efficient valuation scheduling for each Valuer. (for Scheduling Team)
Accurately update job status on TOTOM and send client notifications when applicable.
Accurately update job status on all online systems i.e. VMS and Valuation Exchange etc.
Provide general administrative support and assistance to facilitate a smooth valuation process to the Valuers.
Communicate effectively with VAM’s and Valuer’s to increase operational efficiencies and Valuer productivity.
Conduct property ownership searches on the Internet to check for and record all relevant property details.
Accurately enter job requests into TOTOM in line with JLL’s Valuation and Advisory processes, ensuring compliance with all relevant KPIs.
Liaise with banks, financial institutions and other clients when necessary to obtain further relevant information and clarify file information.
Obtain relevant documentation, including maps, and additional information where necessary i.e. plans, title searches, building specifications etc.
and collate relevant data to attach to TOTOM.
Provide advice and assistance to other Customer Service Officer as requested, and escalate any identified risks to the Team Leader.
Answer inbound calls as required, assisting clients and responding to requests where appropriate.
Attend Team meetings, actively contributing ideas and suggestions for continuous improvements in processes and systems.
Monitor own performance against set KPIs and adjust work processes as required in order to meet KPIs.
Identify opportunities for continuous improvement in processes and systems within JLL and provide suggestions via the Channel of Innovation..
Assist peers wherever possible to ensure that team KPI’s are met / exceeded on a daily basis.
