What this job involves :
Finance related responsibilities
Assist the Site Lead with monitoring and reviewing budgets and financial reports to ensure financial stability, and compliance with client requirements;
Raise purchase orders via Ariba / JDE systems
Review all real estate and IFM operation invoices to ensure the documentation is complete and free from error prior to goods receipt;
Review all payments to ensure the documentation is complete and free from error prior to their release;
Prepare and submit regular financial (accruals, invoice, payments, etc) reports as required by management and client;
Monitor budgets at site level;
Procurement related responsibilities
Work closely with the Site Lead and the JLL SCMP Team to ensure compliance with competitive bidding and selection processes according to JLL SCMP Guidelines;
Review and update Procurement Plans and contracts as necessary;
Maintain accurate records of purchases and procurement, supply and price options;
Intervene, analyze, manage and resolve any issues or conflicts between the JLL-Thomson Reuters and vendors / suppliers within the framework of the scope.
Contracts related responsibilities
Review / draft agreements and service contracts including its work plans and budgets to ensure they are in line with activities planned and all relevant costs are included;
Monitor agreements and ensure required documentation completion as per the agreement and ensure diligent follow-up on deliverables;
Monitor reporting deadlines and other submission deadlines;
Prepare and review agreements / contracts, letters of agreement, service contracts, MOUs, and other contracts as necessary;
Maintain hard copy and electronic copies of all agreements / contracts, reports, and Declarations of Undertaking of the Project;
Assist the Site Lead in correspondence on contractual issues such as modification requests for contracts, agreements, and subcontracts including budget revisions, no-cost extensions, etc.;
Prepare and review contract amendments of agreements;
Coordinate the agreements / contracts closeout process with JLL SCMP team.
Perform any other job-related activity required to achieve the goals and objectives under the facilities' operations.
