Job Description

  • Knows how to accept deliverables such as purchase orders, contracts and payments
  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person and office
  • Answer, screen and forward incoming phone calls
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
  • Provide basic and accurate information in-person and via phone / email
  • Receive, sort and distribute daily mail / deliveries
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Keep inventory of stock for office supplies
  • Perform other clerical receptionist duties such as filing, photocopying
  • Assist in booking / reservation of meeting rooms, and making sure refreshments is on hand
  • Contact necessary people for office / building maintenance (Building admin / engineer, Contractor)
  • Maintain cleanliness and report any damage of office items (chairs, aircon)
  • Minimum Qualifications

  • Proven work experience as a Receptionist, Front Office Representative or similar role
  • Excellent organizational skills and time-management, able to multi-task and produce efficient work, while knowing which task to prioritize
  • Ability to be resourceful and proactive when issues arise, should be able to solve problems with minimal supervision, and able to make decisions
  • Willing to do over time if needed to assist events or any company activities
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Proficiency in basic Microsoft (Word, Excel)
  • Hands-on experience with office equipment (e.g.scanners and printers)
  • Excellent organizational skills
  • Customer service attitude
