Describe the primary purpose, objective and / or function of this job.

The Marketing Admin Assistant will perform a wide range of administrative and office support activities for the Marketing department to facilitate the efficient operation of the organization.

He / She is expected to perform the following functions, among other things :

  • Admin support for internal and external meetings : Local, Regional and Global for both SI and AI
  • Hotel and booking travel arrangement for Marketing-initiated activities (including negotiation on room concession and banquet rates)
  • Engagement with customers such as KOLs, local and foreign speakers and fieldforce. Honorariums of speakers are processed upon receipt of request from CPM.
  • Checks are forwarded / mailed to speakers on-time.

  • Facilitate ARIBA requisition of promotional materials and services
  • Processing of honorarium requests / vendor payments and facilitation of check release
  • Processing of BCD BTA expenses / charges
  • Monitor, analyze and report A&P related concerns including reclassification of Marketing and A & P expenses to appropriate Cost Centers and cross-charging coordination
  • Accreditation and maintenance of vendors in the ARIBA system
  • Monitoring of spending of vendors and their renewal in the GATPL system
  • Documentation of attendance sheets collated per event for ACM closing, promo materials, other auditable materials
  • Mailing and shipment of documents / promotional materials
  • Coordinate with suppliers (quotation / proposal / approval / deliveries)
  • Manage marketing resources (samples, promats, equipment, etc)
  • Maintain and monitor inventory of both SI and AI Marketing properties / documents
  • Critical to the success in the role are the following :

  • Organizes marketing related reports / documents and maintains an inventory of electronic and hard copy files allowing for easy access and compliant to Pfizer policies
  • Ability to balance responsibilities working with two different businesses and sales teams (SI and AI).
  • Uses judgment to identify and resolve issues especially when of an urgent nature.
  • Communicates and works in a team environment, working closely with other colleagues to coordinate workflow and completion of work within deadlines.
  • Drive admin process improvements and Build operational network within different functions
  • Will need to arrange for substitute admin support when away from her / his desk. Requires proactive thinking and logistical capabilities as well as good judgment on what constitutes effective substitute support.
  • ESSENTIAL JOB FUNCTIONS : The incumbent must be able to perform all of the following duties and responsibilities with or without a reasonable accommodation.

    1. Support Country Brand Leads on administrative needs, meetings and projects

    2. Support Advisory Board Meetings

    3. Support Speakers’ Meeting / AI University

    OTHER DUTIES AND RESPONSIBILITIES : The incumbent may perform all or some of the following duties :

    1. Assists in the inclusions kits, potency assays and activities that will support operational needs

    2. Immediate delivery of sensitivity disc to requesting institutions

    3. Availability of Diluents to selected Govt Hospitals to facilitate release of PO

    4. Involvement and work on special committees for sales events such as NasCon, Mid-Year POA and company events or department initiatives, example : teambuilding

    5. Completes special projects as assigned, e.g. audit documentation and support
