This is an exciting role as part of the APAC Quality Regulatory Affairs Program Management Office. You will have primary responsibility to drive the management and execution of several highly visible projects including, but not limited to : Centralization of several Business Processes of Quality & Regulatory Affairs from Country Operations to Central Shared Services, several Process Improvement Programs and Workstreams to drive Operational Efficiency across the region
The role plays an integral role in the operational management and execution of the programs mentioned above, specifically working with senior leaders to plan and deliver this work, which oftentimes involves competing priorities and very clear, precise communication.
Despite clear objectives, the incumbent will have latitude for some decision-making and must be able to remain agile in a fast-paced environment.
In this role you will have access to and interact with several senior leaders across countries of APAC region. This role also requires continuous communication with the Shared Services Team, Country Regulatory and Quality Specialists and the Leadership throughout the lifecycle of projects (from concept to closure).
Excellent communication and influence management skills are a must.
A Day in the Life
Key Responsibilities :
End-to-end responsibility of projects implementation, from initiation phase to completion, including : collecting project's specs, leading meetings with project's stakeholders, planning, tracking progress, communicating about the project's status, managing risks & escalating when needed, and post release monitoring to ensure projects' successful completion.
Help coordinate function wide procedures and work to improve existing processes for maximum clarity, efficiency, and success
Oversees and manages the operational aspects of ongoing projects. Serves as liaison between shared services, core regulatory and quality professionals, project core teams, leadership, and external outsourced teams.
Manages the development and implementation process of functional and business process and services involving departmental or cross-functional teams focused on the delivery of new or existing processes.
Communicates with stakeholders, obtains stakeholder engagement to ensure the proposed state of processes will solve the business problems.
Assesses project issues and develops resolutions to meet productivity and quality objectives.
Develops mechanisms for monitoring project progress and for intervention and problem solving with project team. Reviews status of projects and budgets;
manages schedules and prepares status reports. Build various dashboards to visualize data and provide key insights.
Consultative Support to Country Project Leads with Templates, Tools & Knowledge Archives
Collaborate with Global QARA Functions, Shared Services to Develop or Build on Established Process, harmonize Frameworks and Methodologies, Deploy Best Practices from Countries to Region
Must Have : Minimum Requirements
Bachelors degree required
Minimum of 4 years of relevant experience, or advanced degree with a minimum of 2 years relevant experience
Nice to Have
Bachelor’s Degree with 8+ years of total experience and minimum 4years of Project Management experience in handling Projects independently in Regulatory, Compliance, IT Services, Customer Service, or relevant Business Processes
Working proficiency with Microsoft Office, Awareness on SAP, IT Workflows, Project Management Tools (MS Projects, Smartsheet etc) and Business Intelligence tools (Tableau, Power Bi etc) is a plus
Demonstrated capacity for strategic thinking, project planning, project optimization, project management, risk management and mitigation planning.
Highly Data Driven with excellent analytical skills, must be abreast and adaptive to Technological developments in IT tools, systems, analytics etc
High Learning Agility and Good problem-solving skills Able to learn continuously, solve issues quickly and effectively with minimal supervision
Highly Customer oriented with an understanding of delivery and fulfillment as per customer demands. Able to work under pressure and meet tight timeline.
Self-motivated, proactive, has strong organizational skills, and knows how to work collaboratively in a team environment
Strong communication skills in English (oral and written), presentation and interpersonal skills. Ability to effectively communicate upward with senior management and cross functional stakeholders.
Ability to work cooperatively and effectively at all levels in matrix environment, across multiple geographies, communities, and time zones, to build and maintain the positive relationships required to accomplish organizational goals
Project Management Professional (PMP), Certification as a Lean Six Sigma Green Belt or relevant certification is a plus
Demonstrated track record of leading Projects and Programs within multinational complex organizations preferably in a regional or global role preferably in Medical Devices, Healthcare, Customer Service, or IT Business Process sectors
Graduation in Engineering with a strong pedigree of academics and experience would be preferred
